We Care Holidays (“we”, “us” or “our”), a travel company registered in Gangtok, Sikkim, India, is committed to protecting your privacy. This policy explains what personal information we collect when you use our website or enquire about a trip, how we use it, and the choices you have.
1. Information we collect
We collect information you provide directly to us and information generated through your use of our website:
- Enquiry data: When you submit a trip enquiry, we collect your name, email address, phone number, travel dates, group size and any trip preferences you share.
- Booking data: To confirm a reservation we may collect identity documents (as required for permit applications in Sikkim), passport details for international travellers, and payment information.
- Communication records: Emails, WhatsApp messages and phone call notes relating to your trip planning.
- Website usage data: Pages visited, time spent, the website that referred you, and device and browser information (including your IP address), collected through analytics and advertising tools (see Sections 3 and 4).
- Ad click details: If you reach us by clicking one of our ads, the ad platform adds a click identifier to the link (for example Google’s gclid or Meta’s fbclid). We keep it with your enquiry so we can tell which ads bring enquiries and bookings.
- Cookies: Small text files placed on your device to remember preferences, understand how the website is used and measure our advertising (see Section 4).
2. How we use your information
We use your information only for the following purposes:
- To respond to your enquiry and plan your trip itinerary.
- To process bookings, payments and permit applications on your behalf.
- To communicate about your trip before, during and after travel.
- To send you relevant updates (weather, road conditions, permit changes) that affect your journey.
- To understand how our website is used and improve it.
- To measure which of our ads lead to enquiries and bookings, and to show our ads to people likely to be interested, including people who have enquired with us before (see Section 3).
- To comply with legal obligations, including Sikkim tourism regulations that require sharing of visitor identity documents with relevant authorities.
We don’t make automated decisions about you that have legal or similarly significant effects. Advertising platforms do use automated systems to decide which ads to show, using the information described in Section 3. We do not send unsolicited marketing emails beyond one follow-up on an open enquiry.
3. Information sharing
We do not sell, rent or trade your personal information. We share data only in the following limited circumstances:
- Permit authorities: Identity documents required for Inner Line Permits, RAP and PAP are submitted to the relevant Sikkim government departments. This is a legal requirement for operating tours in restricted areas.
- Service partners: Accommodation providers, vehicle operators and local guides receive your name and travel dates only as needed to confirm bookings.
- Payment processors: Payment information is handled by our payment gateway provider and is not stored on our servers.
- Advertising and analytics partners: Google (Google Ads and Google Analytics), Meta (Facebook and Instagram) and OpenAI (ChatGPT). Their tags on our website record the pages you visit, the site that sent you, your IP address, browser details and cookie identifiers. That happens for every visitor, not only people who click an ad, and these companies may use it to measure ads and to choose and show ads, including on other websites and apps. When you enquire or tap our WhatsApp button, we also share your phone number, name and email address in hashed (one-way scrambled) form, with ad click identifiers, so they can match your enquiry to an ad you clicked. They may also receive the destination, trip length and group size you pick and, if you book, the fact that you booked and its value. We upload the hashed contact details of people who have enquired with us, by any channel, so we can show them our ads or stop showing them. These partners don’t receive your travel documents or your card or bank details. Each partner handles this data under its own privacy policy: Google, Meta and OpenAI.
- WhatsApp: Our WhatsApp chats run on the WhatsApp Business Platform, which Meta provides. Your messages, and the quote links we send you there, pass through it under WhatsApp’s own terms.
- Legal requirement: We may disclose information if required by law, court order or government authority.
4. Cookies
Our website uses the following categories of cookies:
- Strictly necessary cookies: Required for the website to function (session management, security). Cannot be disabled.
- Analytics cookies: Used to understand how visitors use the website (for example which pages are visited most). You may opt out via your browser settings.
- Advertising cookies: Set by Google, Meta, OpenAI and by us to measure our ads and to show ads to people who have visited our website. Meta’s _fbp is set on every visit; _gcl_aw, _fbc and wch_attr are added when you arrive from an ad or another link that carries tracking details. Most last up to 90 days.
- Preference cookies: Remember choices you have made (e.g. your destination selection in the trip planner).
You can control cookies through your browser settings. You can also limit ads based on your activity in Meta’s ad preferences and Google’s My Ad Center, or opt out of interest-based ads from many companies at aboutads.info and youronlinechoices.eu. Blocking analytics, advertising or preference cookies won’t stop you using the website.
5. Data retention
We retain your information for the following periods:
- Enquiry data (not converted to booking): 12 months from the date of enquiry, after which it is deleted.
- Booking and trip records: 7 years from the date of travel, as required for financial record-keeping under Indian law.
- Identity documents for permits: Deleted within 30 days of trip completion, once permits have been surrendered.
- Marketing preferences: Until you withdraw consent.
6. Your rights
You have the right to:
- Access: Request a copy of the personal data we hold about you.
- Correction: Ask us to correct inaccurate information.
- Deletion: Request deletion of your data, subject to legal retention requirements.
- Objection: Object to our processing of your data for marketing or advertising purposes, including showing you our ads again after an enquiry.
- Portability: Receive your data in a structured, commonly used format.

7. Third-party links
Our website may contain links to third-party websites (TripAdvisor, Google Maps, airline booking sites). We are not responsible for the privacy practices of these sites. We encourage you to read their privacy policies before providing any personal information.
